- Map each question to an evidence owner. Governance, security, privacy, product and model-operation questions often belong to different teams.
- Retrieve the strongest current source. Policies, architecture notes, provider documentation and approved operating procedures should support material statements.
- Draft narrowly. The response should say only what the evidence can prove rather than broadening a limited control into a universal claim.
- Show the citation. Reviewers should be able to find the supporting source without recreating the research.
- Escalate gaps. Missing or contradictory evidence becomes a review task instead of an automatically positive answer.
Common preparation mistakes
One frequent mistake is treating a model provider's controls as proof of the vendor's entire application control environment. Another is using stale AI architecture evidence after the product has changed providers, retention behavior or data flows. Vendors should also distinguish technical product facts from contractual commitments: a product may support a behavior without the company being contractually committed to provide it in every customer configuration.
